Navigating IT Asset Management (ITAM) software isn’t always a walk in the park. Even essential tasks like complex asset searches can feel like a challenge, requiring a level of technical know-how that slows things down. And if you’ve ever struggled to craft the perfect query syntax just to find a specific asset, you know exactly what we’re talking about.

That’s where InvGate Asset Management’s Smart Search comes in. Designed to streamline daily operations, it eliminates the need for complicated search queries, allowing IT technicians and managers to quickly and accurately locate assets without the usual headaches.

In this post, we’ll break down how IT asset smart tech is changing the game and why Smart Search is set to become an essential feature for IT teams everywhere. Let’s dive in!

What is Smart Search in Asset Management?

Gone are the days of struggling with complex query syntax just to locate an asset. Features like Smart Search let you search for assets using natural language—just like you would in a regular conversation.

So, instead of memorizing technical filters or crafting perfect SQL-like commands, you can simply type something like "laptops assigned to John Doe" or "all servers in the New York office"—and Smart Search does the rest. Without getting too technical, this feature automatically interprets your query and translates it into the correct structured search parameters.

Seamlessly integrated into InvGate Asset Management, Smart Search works alongside the existing features you already rely on, enhancing your workflow without adding complexity. Whether you’re tracking down a specific device, checking software compliance, or analyzing inventory trends, Smart Search makes the process faster, easier, and way more intuitive.

3 major benefits of Smart Search functionality

Smart Search offers numerous advantages. We've gathered the top three benefits in the following list:

  1. Faster and more efficient asset searches - With natural language search, IT teams can instantly locate assets by simply describing what they need. Whether it’s tracking down a specific laptop, identifying software installations, or checking warranty statuses, Smart Search speeds up the process, freeing up time for more critical tasks.

  2. Eliminates the need for technical query knowledge - Traditional asset search functions often require knowledge of structured query language (SQL) or Boolean operators, which can slow down even experienced IT professionals. Smart Search removes this barrier, making asset tracking accessible to all users, regardless of technical expertise.

  3. Reduces errors and improves accuracy - Manual queries can lead to mistakes, whether it’s a typo, incorrect syntax, or missing parameters. Smart Search interprets intent, reducing the risk of human error and ensuring that IT teams get reliable and accurate search results every time.

How does Smart Search work in InvGate Asset Management?

InvGate Asset Managements Smart Search interface. Not all ITAM tools include Smart Search as a feature, and among those that do, its functionality can vary. In InvGate Asset Management, Smart Search—currently in beta and available only for select customers—needs to be enabled manually using a toggle in the search bar. The other toggle option allows you to perform a traditional search.

If the option doesn’t appear in the search bar, you’ll need to activate it. It’s very simple! To enable it, go to Settings > AI Hub and turn on the feature.

How to use Smart Search step by step

After enabling the tool, performing a smart search is very simple. Follow these steps:

  1. If Smart Search doesn't appear in the search bar, enable the tool from Settings > AI-Hub.
  2. Enter what you're looking for using simple, natural language.
  3. Click on the asset you need information about.

Smart Search feature use cases

Smart Search isn’t just about finding assets faster—it also transforms the way IT teams manage, monitor, and maintain their IT infrastructure. Here are some of its most valuable use cases:

  1. Routine checks made easy - Instead of navigating multiple filters, IT teams can simply type "laptops assigned to employees in Spain" to instantly retrieve relevant assets. Whether you're verifying inventory distribution or checking assignments, Smart Search makes routine ITAM tasks effortless.

  2. Streamlined maintenance scheduling - Keeping IT assets up to date is critical, but manually filtering through device lists is a hassle. With a simple query like "computers needing software updates," IT teams can quickly identify devices requiring attention and schedule updates without complications or delay.

  3. Compliance and security monitoring - Ensuring compliance with security policies is much easier when you can instantly locate non-compliant assets. A quick search for "devices without antivirus software," helps IT managers proactively address vulnerabilities and reinforce cybersecurity standards.

  4. Faster incident resolution - When IT teams need to troubleshoot an issue, time is of the essence. Instead of digging through asset records, they can type "devices assigned to John Doe" to quickly locate the affected asset and resolve tickets faster.
