InvGate Service Management and Freshservice are both capable ITSM platforms, and for most buyers the decision comes down to how far your service operation reaches beyond IT and how much control you need over AI, deployment, and workflows.

Freshservice is probably one of the quickest, cheap-to-start options for a small IT team that wants a cloud service desk running fast; InvGate Service Management is built for teams that need more control over workflows, approvals, and cross-department processes as they scale, with an on-premise option on the table, without sacrificing implementation speed or ease of setup.

Both cover the ITSM essentials — Incident, Request, Problem, and Change Management — so the differences between InvGate and Freshservice come down to aspects like how each one prices AI, licenses non-IT teams, and handles approvals across departments. We'll cover these in depth in the article.

Pricing: what each plan really includes

Freshservice uses per-agent pricing across four tiers: Starter ($19), Growth ($49), Pro ($99), billed per agent per month on an annual plan, with Enterprise quoted custom. The listed price is only part of the cost for teams that need additional capabilities. Freddy AI Copilot costs an extra $29/agent/month, and non-IT employees who actively handle tickets in business workspaces such as HR, Finance, and Facilities require separate Business Agent licenses, priced at around $49/agent/month. These are distinct from requesters, the end users who submit tickets and can do so for free. Asset tracking also has limits: the included 100-unit pack may require paid add-ons as the inventory grows. (Freshservice pricing, checked October 2026.)

InvGate Service Management prices on a different basis. Starter costs $24.98/agent/month, billed annually, with a five-agent minimum and a $1,499/year minimum spend. Pro costs $500/agent/year for 5 to 50 agents, while Enterprise pricing is custom. End users and approvers are unlimited on every plan, and AI Hub is included at no extra charge. The licensing model also supports cross-department service management, so teams can extend workflows to HR, Finance, Facilities, and other functions without a separate business-agent license fee. The number of paid agents and the selected plan still determine the subscription cost.

Workflows, approvals and cross-department service

On day-to-day IT ticketing the two feel similar. The gap opens once requests start crossing teams and approvals get layered.

InvGate Service Management leans on a no-code workflow builder and approval logic that are meant to be configured by the service team, not a developer. Multi-step approvals, conditional routing, and a shared service catalog extend past IT into HR, Finance, and Facilities, so onboarding a new hire or processing a purchase request runs as a governed workflow with the same tooling the IT desk uses. The trade-off is that this depth takes more upfront setup to tune.

Freshservice covers workflow automation and approvals too, with employee-onboarding and other business-service use cases available as you move up the tiers. Its automation runs on metered orchestration transactions, with a monthly allowance that grows by plan, so high-volume, cross-system automation is something to size against the tier you are on. For a cloud-first IT team with moderate approval needs, it is quick to stand up; for a wide, approval-heavy operation spanning several departments, the configuration ceiling and licensing of non-IT agents are the things to pressure-test.

AI: InvGate AI Hub vs Freddy AI

InvGate AI Hub ships on every Service Management plan, cloud or on-premise, with no add-on fee and no credit pool to top up. It groups features such as agent assistance, proactive incident detection, and Knowledge Management into one layer of the product: summarizing tickets and drafting replies for agents, flagging major incidents and SLA-at-risk requests before they breach, and turning resolved tickets into knowledge articles. The Virtual Service Agent is a separate AI-powered capability, available from Pro. A conversational assistant that answers employees' questions and resolves common requests on its own across the self-service portal, Microsoft Teams, WhatsApp, and Slack, and can also log and comment on tickets.

Freshservice splits its AI across two products. Freddy AI Copilot — the assistant that drafts and summarizes for agents — is a $29/agent/month add-on available on Pro and above. Freddy AI Agent, the autonomous assistant that resolves conversations on its own, is included only on the Enterprise plan, with an allowance of 1,200 sessions per license per year. So on Freshservice, agent-side AI is an extra line item until Enterprise, where the autonomous tier comes bundled.

IT Asset Management

The two vendors structure asset management differently, and it matters for both cost and depth.

Freshservice builds Asset Management into the service desk. Each qualifying tier includes a pack of 100 asset units, and anything past that — more units or higher-tier discovery and lifecycle features — is billed on top. For a team that wants light hardware and software tracking alongside its tickets, having it in the same plan is convenient.

InvGate handles assets through a dedicated product, InvGate Asset Management, with its own plans: Starter at $1,499/year for up to 500 IP devices, Pro at $5 per IP device/year from 500 to 5,000 devices, and Enterprise from $12,000/year. It is a separate purchase, not part of a Service Management plan, which is the point — it is a full ITAM tool rather than a tracking feature attached to the help desk. The native, two-way integration between InvGate Asset Management and InvGate Service Management is included in every plan of both products, so linking a ticket to an asset and its history works without extra licensing once you own both.

When Freshservice is the better choice

Freshservice is the stronger fit for a small or lean IT team that wants solid cloud ITSM running quickly and without much configuration. Its $19 entry price is the lowest way in, there is no seat minimum to clear, and the out-of-the-box setup is fast — you can have incident, request, and knowledge management working in days. If your operation is cloud-only by policy, mostly contained within IT, and comfortable treating agent-side AI as an add-on you turn on when you need it, Freshservice keeps things simple. It also suits organizations already standardized on Freshworks products that want one vendor across the stack.

When InvGate Service Management is the better choice

InvGate Service Management fits organizations whose service operation is growing beyond a basic IT desk but still needs to be quick to configure and easy to maintain. Teams can build governed workflows, multi-step approvals, and service catalogs for HR, Finance, or Facilities without code, while keeping implementation and configuration times short. The pricing model supports that expansion: unlimited end users and approvers, plus AI Hub at no extra charge on every plan, help keep costs predictable as more people and processes come into scope. InvGate also offers both cloud and on-premise deployment, giving organizations more control over where the platform runs.

And, of course, for organizations that need deeper asset visibility, InvGate Asset Management can be paired with Service Management to connect service workflows with hardware, software, and infrastructure data.

InvGate Service Management vs Freshservice FAQ

Is InvGate cheaper than Freshservice?

It depends on the plan and the capabilities you need. Freshservice has the lower entry price at $19/agent/month for Starter, compared with InvGate Service Management's fixed $1,499/year for five agents. At higher tiers, compare the features included as well as the headline prices: InvGate Pro costs $500/agent/year (about $41.67/agent/month), while Freshservice Pro costs $99/agent/month. InvGate includes AI Hub on every plan, while Freshservice charges $29/agent/month for Freddy AI Copilot on Pro and Enterprise. Freshservice also charges $49/month for each Business Agent who actively works on tickets in non-IT workspaces. The best value depends on the workflows, AI capabilities, and team roles your organization needs.

If budget is the deciding factor, it helps to see how other service desks in the same bracket price out.

Does Freshservice offer on-premise?

No. Freshservice is cloud-only, delivered as SaaS. InvGate Service Management offers both cloud and on-premise deployment, which is the deciding factor for teams with data-residency or regulatory requirements that rule out a purely hosted option.

Which one is better for Enterprise Service Management?

InvGate Service Management is a strong choice for organizations extending service management beyond IT, with no-code workflows, multi-step approvals, and service catalogs that teams can configure quickly. Freshservice also supports ESM through dedicated business workspaces, but charges separately for Business Agent licenses for non-IT employees who actively handle tickets. The better fit depends on your cross-department workflows and the capabilities your organization needs.
